Planning to adopt HubSpot
Nobody internally has run a CRM rollout before
Rollouts rarely fail on configuration. They fail in week three, when the initial enthusiasm has worn off, someone hits a task they were not shown, and there is nobody obvious to ask.
Short answer
How should we train our team on a new HubSpot rollout?
Train by role, not by feature. A sales rep needs the ten things they do daily; a manager needs pipeline hygiene and coaching views; an admin needs property governance, workflow standards and how to make changes safely. Deliver live sessions rather than recordings alone, record them for future hires, and supply written playbooks and SOPs for the tasks people forget between uses. Schedule training close to go-live so it is applied immediately, and follow with a hypercare period where questions get answered in hours. Budget three to four hours per role.
01
How this shows up
If four or more of these are true, this is your problem.
- No internal CRM admin identified, or one appointed by accident
- A plan that consists of a launch email and a recorded demo
- Different teams expecting to use the system in incompatible ways
- No documentation for anything, so knowledge lives in one person
- New joiners onboarded by shadowing whoever is free
- Leadership expecting adoption to be automatic because the tool is good
02
Why it happens
Feature training instead of task training
A tour of HubSpot teaches nobody their job. People retain what maps to something they do that week.
One session for everyone
Sales, marketing, support and ops need different things. A combined session bores three groups to teach one.
No written reference
Live training decays quickly. Without playbooks and SOPs, week-four questions become permanent workarounds.
No admin ownership
If nobody owns the portal, every small change waits for an external provider and the system slowly freezes.

We train until the team is confident
Enablement is the cheapest part of an implementation and the part that decides whether the rest of the investment produces anything. We include it rather than pricing it as an upsell.

How we fix it
- 01
Identify the internal admin early
Named during discovery, involved through the build, and given a deeper handover than anyone else so ownership transfers cleanly.
- 02
Build role-based curricula
Separate tracks for sales, marketing, service and ops, each built around the tasks that role performs weekly.
- 03
Deliver live, record everything
Live sessions allow real questions; recordings give you an onboarding library for every future hire at no extra effort.
- 04
Write the playbooks and SOPs
Short, task-shaped documents for the things people do rarely enough to forget — imports, list building, reporting changes, deal hygiene.
- 05
Support the first month
Thirty days of hypercare with a dedicated channel and a 24-hour response SLA, which is when the real questions actually arrive.
05
What changes afterwards
- Each role trained on their own work rather than a generic tour
- An internal admin who can make safe changes without waiting on us
- A recording and SOP library that onboards future hires automatically
- Questions answered in hours during the month that decides adoption

Questions
People ask us this
How long does HubSpot training take?
Three to four hours per role, usually split into two sessions so people can apply the first before the second. Admin handover is deeper, typically a full day across several sessions.
Is training included in the implementation?
Yes. Role-based training, recordings, playbooks and SOPs are deliverables of the implementation, and we continue until the team is confident rather than until a booked hour runs out.
What if our team changes after launch?
That is what the recording and SOP library is for. New joiners get the same training the original team received, without you having to buy it again.
