Capra Digitals

A HubSpot audit that tells you what to fix first, and what to ignore

Most portals do not need a rebuild. They need someone to find the four workflows that quietly broke, the property nobody fills in, and the marketing contact setting that is inflating your bill every month.

Duration
90-minute portal review, full findings within one week
Coverage
Data, workflows, pipelines, reporting, integrations, spend
Output
Ranked remediation plan with effort and impact per item
Option
We can execute the fixes, or hand the plan to your team

In short

What does a HubSpot audit cover?

A HubSpot audit is a structured review of a live portal across five areas: data quality, automation health, pipeline and lifecycle configuration, reporting reliability, and licence and contact spend. Capra Digitals delivers findings as a ranked remediation plan — each item scored by business impact and effort — so you can fix the expensive things first.

  • Duration: 90-minute portal review, full findings within one week
  • Coverage: Data, workflows, pipelines, reporting, integrations, spend
  • Output: Ranked remediation plan with effort and impact per item
  • Option: We can execute the fixes, or hand the plan to your team

Signals

Portals we usually get called into

  • Two dashboards, two different numbers

Leadership stopped trusting reporting because nobody can explain the gap between them.

  • Workflows that silently died

An automation has been erroring for months and no one is watching the alerts.

  • A contact bill that keeps climbing

Marketing contact counts grow every quarter and nobody has audited what actually needs to be marketable.

  • Inherited portal, no documentation

The person who built it left, and nothing was written down.

What you get

The five areas we review

01 /

Data quality and structure

Duplicate rate, fill rates on properties that matter, unused custom properties, association integrity and naming chaos.

Explore
  • Duplicate contact and company analysis
  • Property inventory with usage data
  • Association and ownership gaps
  • Naming and validation recommendations
02 /

Automation health

Every active workflow reviewed for errors, overlaps, infinite loops and rules that contradict each other.

Explore
  • Workflow error and enrolment review
  • Conflicting or duplicate automation
  • Orphaned and never-triggered workflows
  • Naming and folder standards
03 /

Pipelines and reporting

Whether stage definitions match reality, whether lifecycle stages are set consistently, and whether your dashboards can be trusted.

Explore
  • Stage exit criteria and hygiene
  • Lifecycle stage consistency
  • Metric definition conflicts
  • Dashboard rationalisation
04 /

Spend and licensing

Marketing contact settings, seat allocation and tier fit — usually the fastest money the audit finds.

Explore
  • Marketing contact classification review
  • Seat and permission audit
  • Tier fit versus features actually used
  • Add-on and integration cost review

How it runs

One week, start to plan

  1. 01

    Access and scoping call

Read-only portal access plus a 30-minute call on what leadership currently does not trust.

  2. 02

    The 90-minute sweep

We run our standard checklist across data, automation, pipelines, reporting and spend, capturing evidence as we go.

  3. 03

    Findings and ranking

Every issue scored for impact and effort, then sorted. Quick wins separated from structural work.

  4. 04

    Walkthrough

A live session where we explain each finding, answer the 'why does that matter' questions, and agree what happens next.

Questions

Straight answers

The questions we get asked on almost every call about this work.

How much access do you need?

Read-only super admin access is enough for the audit itself. We only need write access if you ask us to execute the fixes afterwards.

How long does a HubSpot audit take?

The portal review is about 90 minutes of focused work. Findings, ranking and the walkthrough session land within a week of getting access.

Will the audit find cost savings?

Often, yes — usually in marketing contact classification and unused seats. We cannot promise a number before looking, but licence spend is one of the five areas we always check.

Do we have to use you for the fixes?

No. The remediation plan is written so an in-house operations person can execute it. Plenty of clients do exactly that and bring us in only for the structural items.

How often should we audit the portal?

Annually for stable portals, or after any major change: a new hub, a reorganisation, a merger, or a change of the person who owns the system.
