CRM data cleanup, with rules that stop the mess coming back

A one-off cleanup buys you about four months. We do the cleanup and then close the doors it came in through: form validation, import standards, dedupe automation and ownership rules.

Scope
Duplicates, formatting, missing fields, dead contacts, associations
Method
Profile, agree rules, batch execute, then prevent
Proven
20,000+ duplicates resolved in one programme
Prevention
Validation, dedupe automation and import standards installed

In short

How do you clean up CRM data properly?

Effective CRM data cleanup runs in four steps: profile the data to quantify duplicates and gaps, agree merge and normalisation rules with the business, execute in reversible batches, then install prevention — validation, deduplication automation and import standards. Capra Digitals resolved over 20,000 duplicate records in a single engagement using this sequence.

  • Scope: Duplicates, formatting, missing fields, dead contacts, associations
  • Method: Profile, agree rules, batch execute, then prevent
  • Proven: 20,000+ duplicates resolved in one programme
  • Prevention: Validation, dedupe automation and import standards installed

Signals

What dirty data is actually costing you

  • Reports nobody believes

Counts are inflated by duplicates, so every number gets mentally discounted in the meeting.

  • Embarrassing outreach

The same person receives the same campaign three times under three records.

  • Marketing contact bills

You are paying to keep dead and unmarketable contacts in the marketable pool.

  • Broken automation

Workflows depend on fields that are empty or formatted five different ways.

What you get

The cleanup programme

01 /

Data profiling

We quantify the problem first: duplicate clusters, fill rates, invalid formats, dead domains and orphaned associations.

Explore
  • Duplicate cluster analysis
  • Property fill-rate report
  • Format and validity checks
  • Association and ownership gaps
02 /

Deduplication

Merge rules agreed with you — which record wins, which field survives — then executed in reversible batches.

Explore
  • Match rules beyond exact email
  • Field-level survivorship rules
  • Batched, reversible merges
  • Company and contact association repair
03 /

Normalisation and enrichment

Consistent country, industry, job title and phone formats, plus enrichment where a trusted source exists.

Explore
  • Picklist standardisation
  • Phone, country and name formatting
  • Enrichment against agreed sources
  • Bounce and dead-domain handling
04 /

Prevention

Form validation, import checklists, dedupe automation and clear ownership so the same mess cannot rebuild itself.

Explore
  • Form field validation
  • Import standards and checklist
  • Ongoing duplicate detection workflow
  • Monthly data health dashboard

How it runs

Clean, then keep clean

  1. 01

    Profile

A quantified picture of the data, so the scale of the problem is a number rather than a feeling.

  2. 02

    Agree the rules

Merge and survivorship rules signed off before anything is changed. This is a business decision, not a technical one.

  3. 03

    Execute in batches

Reversible batches with spot checks between them. Nothing runs against the full database on the first pass.

  4. 04

    Install prevention

Validation, automation and standards, plus a data health dashboard so drift is visible early.

Questions

Straight answers

The questions we get asked on almost every call about this work.

Can duplicates be merged safely?

Yes, with agreed survivorship rules and batched execution. We spot-check between batches and keep the pre-merge state recoverable until you sign off.

Should we delete old contacts?

Usually archive rather than delete: remove them from the marketable pool to control cost while keeping the history. Hard deletion is reserved for genuine junk and legal requests.

Will cleanup reduce our HubSpot bill?

It can, by reducing marketing contact counts. Whether it does depends on how your contacts are currently classified — that is one of the first things we measure.

How long does a cleanup take?

Two to five weeks for most portals: about a week to profile and agree rules, the rest to execute in batches and install prevention.

How do we stop it happening again?

Prevention is part of the engagement, not an upsell: validation on forms, standards for imports, automated duplicate detection and a monthly health dashboard.

Next step

Get the duplicate count before you get a quote

We can profile the portal quickly and tell you how big the problem actually is, which is usually different from what people expect.
