HubSpot onboarding and implementation, run by people who have done it 50+ times

You bought the licences. Now someone has to decide what a lifecycle stage means at your company, which properties matter, and how a deal actually moves. That is the work we do — and we finish it in four to eight weeks, not four to eight months.

In short

What does HubSpot implementation actually involve?

HubSpot implementation is the process of turning an empty portal into a working revenue system: defining your data model, importing clean records, building pipelines and lifecycle stages, connecting the rest of your stack, automating the handoffs, and training the people who have to live in it. Capra Digitals delivers this as a fixed-scope engagement, typically over four to eight weeks, with a named architect on every call.

Signals

You probably need this if any of these sound familiar

  • The portal is live but empty

Licences are being paid for and the only thing configured is the default deal pipeline HubSpot ships with.

  • Nobody owns the data model

Three people have created three versions of the same property and reporting is already contradicting itself.

  • Your onboarding credit ran out

HubSpot's own onboarding is guidance, not build. You were handed a plan and left to implement it.

  • There is a deadline attached

A contract is expiring, a legacy CRM is being switched off, or a board wants pipeline visibility this quarter.

What you get

What a Capra implementation includes

01 /

Portal architecture and data model

We start with how your business actually sells, then design objects, properties and lifecycle stages around it — before a single record is imported.

Explore
  • Object and association mapping
  • Property naming conventions and validation rules
  • Lifecycle stage definitions agreed with sales and marketing
  • Permissions, teams and access model
02 /

Data import and cleanup

Legacy records get deduplicated, normalised and reconciled before import, so the first report you open is one you can trust.

Explore
  • Field-level mapping document you sign off
  • Dry-run import into a sandbox first
  • Duplicate merge rules and normalisation
  • Post-import reconciliation report
03 /

Pipelines, automation and templates

Deal stages with exit criteria, rotation rules, task automation, sequences and the email and form templates your team needs on day one.

Explore
  • Deal and ticket pipelines with stage exit criteria
  • Lead routing and rotation
  • Internal alerts and task creation
  • Email, form and landing page templates
04 /

Reporting and enablement

Dashboards per role, plus live training and recorded walkthroughs so adoption does not depend on one champion staying at the company.

Explore
  • Rep, manager and executive dashboards
  • Live role-based training sessions
  • Recorded walkthroughs and a written playbook
  • 30 days of post-launch support

How it runs

Four to eight weeks, four phases

  1. 01

    Discover

Two workshops to map how revenue moves today: sources, handoffs, stages, reporting needs and the tools in the way. You get a written blueprint before anything is built.

  2. 02

    Architect

We design the portal on paper first — objects, properties, pipelines, integrations, automation logic — and you approve it. Changing a diagram is cheap; changing a live portal is not.

  3. 03

    Build and migrate

Configuration, integrations and a dry-run data import in a sandbox, then the live import with a reconciliation report that accounts for every record.

  4. 04

    Train and launch

Role-based training, a two-week hypercare window, and a handover pack so your team owns the system rather than renting it from us.

Questions

Straight answers

The questions we get asked on almost every call about this work.

How long does HubSpot implementation take?

Four to eight weeks for most mid-market portals. Simple Sales Hub setups can land in three; multi-hub programmes with ERP integrations and heavy data cleanup run longer. We give you a dated plan in week one and hold to it.

Do we still need HubSpot's paid onboarding?

HubSpot's onboarding fee is often mandatory on Professional and Enterprise tiers, but it is advisory. We work alongside it and do the actual build, so you are not paying twice for the same outcome.

Can you work with our existing portal instead of starting fresh?

Yes. If a portal already has data and history, we usually start with a HubSpot audit, then implement against the findings rather than wiping and rebuilding.

What do you need from our team?

A decision maker who can settle definitions, one operations contact for access, and roughly two hours a week of workshops. Everything else sits with us.

What happens after go-live?

Thirty days of included support, then either you run it yourselves with the handover pack, or we continue as managed services or fractional RevOps.
